Hiring a 1st time International Undergraduate Student Employee

New International Student Employees:

  1. Instruct the student to complete the payroll forms using the new UG Docusign Link and notify you once they have done so.
  2. Hiring department provides a hard copy I-9 form - 2026-2027 to the student and instructs them to complete I-9 section 1.
  3. Student brings I-9 form with their original, hard-copy, unexpired I-9 supporting documents to the HR Employee Service Center during their hours of operation (www.umass.edu/hr/benefits-and-pay/human-resources-employee-service-center).

    Please note: the student must bring the hard copy (not digital) of their documents. Students can print copies of their I-94, I-20 or DS-2013 in the Library (www.umass.edu/it/uprint).

  4. Hiring department completes the SPAF and uploads to Upload UGRAD SPAF FORM here.
  5. When you first learn your department is hiring an international employee, create a Salesforce ticket in AskHR. Include the student's full name, Campus ID, and UMass email.  Please explicitly reference SPRINTAX in the case so we may start the required SPRINTAX CALCULUS process as quickly as possible.
  6. International Students must also complete SPRINTAX CALCULUS Tax Compliance System (this is separate and in addition to the Undergraduate Payroll forms).
  • International students must provide information to us by using SPRINTAX CALCULUS, the University’s secure online tax compliance system (for all non-US citizens, regardless of their tax residency status). This system is designed to allow non-US citizens to provide UMass Amherst with their immigration and tax data. SPRINTAX CALCULUS is mandatory, as it determines tax residency, withholding rates, and income tax treaty eligibility.
  • Any/all tax status/immigration changes/extensions need to be completed via SPRINTAX CALCULUS, and their electronic Tax Summary Report, Required Forms and the Required Document Copies must be e-signed and uploaded to their SPRINTAX CALCULUS profile.

  • If an international employee indicates that they have not received an email about SPRINTAX CALCULUS after you have requested their account be created, please submit a request to create a Calculus record for the student via AskHR.
