Reservations
- The CNS Dean’s Office has priority over the use of the rooms.
- Requests will receive notification of availability within 48 hours of request.
- Reservations are required a minimum of three days prior to the event.
- Reservations are accepted a maximum of three months prior to event.
- Priority of room reservations requests will be given to the College of Natural Sciences departments.
- Student use of the room is authorized infrequently. Students MUST go through a designated departmental representative who is responsible for opening and closing the room as well as the state of the room.
- Potential bumping from the rooms to accommodate important CNS or site visits and/or events should be anticipated. If bumped, it is the responsibility of the person being bumped to acquire another location.
- As there is great demand for our facility, we advise advertising your event only after receiving confirmation of availability.
- In the event you need to cancel a reservation request, please fill out the Reservation Cancellation Form.
Guidelines for use
- Conference room tables should not be moved.
- Chairs should be returned to their original position and pushed in neatly.
- Any and all food/drink should be removed from the room prior to the departure of the meeting coordinator.
- If food/drink has been brought into the room, you are responsible for wiping down the tables.
- If Campus Catering has provided a meal for a special event, the coordinator is responsible to remain until catering had picked up, and in order for you to lock the door when they leave.
- Trash bags should be removed, tied and left outside the locked area for custodial services.
- Event/Meeting coordinator is responsible for arranging and supervising room set up and clean up.
Any violation of the aforementioned guidelines, as well as any repair, replacement and/or cleaning fees will be charged to you if necessary. Please note that these charges are commensurate to what is normally charged by facilities if the services are required:
- $100: Room not arranged to original setup (chairs not pushed in, overflow of orphan chairs from other locations).
- $100: Failure to clean up the conference room (trash not removed, tables not wiped, food left).
- $TBD: Damage to the room, tables, chairs, carpet or equipment.
Key Access
Faculty/staff of the Chemistry and Veterinary and Animal Sciences departments are to see their respective main offices for room access. All other users are to sign out the key from room 122 Stockbridge Hall between the hours of 8:30 a.m. - 12:00 p.m. and 1:00 p.m. - 4:30 p.m. Monday through Friday, and return it at the close of the meeting.
