IDGP Student Travel Award Policy

Purpose

The purpose of the IDGP Student Travel Awards Program is to encourage students to attend conferences and workshops by providing funds to supplement travel costs. Attending professional events offers valuable opportunities to learn about a given scientific discipline, share research, and begin building professional networks

Eligibility

All PhD students in the IDGP Graduate Programs (MCB, NSB, OEB, and PB) who are in good academic standing are eligible to receive supplemental funds to attend conferences and workshops once per fiscal year, up to a lifetime limit of $2,500, depending on budget availability. Starting in their 3rd year, students must present their research to be eligible for travel funds to attend a conference or workshop.

Travel Funds

  • $450 before passing your Comprehensive Exam and Advancement to Candidacy
  • $800 after passing your Comprehensive Exam and Advancement to Candidacy

Pre-Travel Authorization

The pre-travel approval must be requested from your Home Department (not your Graduate Program Director). Please refer to your CONCUR profile for further information on your assigned delegate that it is typically a member of your Home Department Business Office staff. Once pre-travel authorization via CONCUR has been obtained, submit your request using the IDGP Office Query form including the following information:

  • Student Advisor Full Name
  • Student’s Home Department Name
  • Have you passed your Comprehensive Exam? YES/NO
  • Years of study in the Graduate Program
  • Travel Registration / pre-authorization CONCUR ID
  • Conference Conference or Workshop (name, location and dates)

Upon receiving this information, the IDGP Office will provide an IDGP Office REF# via email.

Travel Award Disbursement

The IDGP Office will work with the student, their PhD Advisor and their Home Department for payment and/or reimbursement of expenses on travel, registration, and lodging.
