Join the Honors College Administrative Team!
Commonwealth Honors College (CHC) seeks a highly organized UMass undergraduate student for an Administrative Assistant position beginning in September 2026 through the academic year 2026/2027.
CHC Student Administrative Assistants work under the direct supervision of the Administrative Coordinator, and indirectly report to the remainder of the CHC Administrative Team (Accountant, Assistant Dean of Administration and Finance, and Human Resources staff)
Responsibilities of the position may include any of the following:
- General Office:
- Update the CHC Microsoft SharePoint site upon request (upload information relating to college staff/faculty, maintain calendar, upload files, add “Save the Dates” for important events, etc.)
- Conduct bi-weekly inventory and keep organized: office, classroom, & kitchen supplies. Restock coffee station daily
- Assist in the maintenance of excel lists and contact information. This may include sending emails to staff & faculty within the college and university to gather information as requested
- Assist in tasks related to the onboarding & offboarding of personnel (updating organizational chart, creating nametags, etc.)
- Assist in planning and execution of Community Building events (Holiday Party, Year End Celebration, monthly Dean’s Lunch, etc.)
- Draft/format various templates upon request
- Maintain confidentiality regarding FERPA and/or administrative projects
- Document hours and work completed and follow the guidelines contained in the Student Employment Handbook
- Special Projects:
- Identify process improvements that could be implemented to help CHC Administrative staff
- Assist in the development of administrative forms and online resources for staff and faculty
Skills of the position:
- Required:
- General knowledge and skills of Microsoft 365 applications including Outlook, Microsoft Word & Excel
- Ability to use office equipment – computers, printers, copiers, etc.
- Strong oral and written communication skills
- Detail Oriented
- Highly Organized
- Preferred:
- Experience using Microsoft SharePoint and Teams
- Experience creating forms with Google Forms, Microsoft Forms and Adobe Acrobat
- Likely to learn on the job:
- More advanced skills in Microsoft 365, including SharePoint, Teams, OneDrive and other productivity applications
- FoxIt (PDF system)
- Canva (Creating digital advertisements/posters)
- DocuSign
- Database systems management
Important Information for the position:
- Total number of hours are to be determined, but will range from 8-15 hours per week
- Candidates should expect to work on site at CHC (third floor above Roots Café)
- Expectations of the staff member are to:
- Establish a general schedule with the CHC Admin Team at the start of each semester
- Attend to the work tasks assigned and to keep clear records of work tasks status on the shared work tracker system
- Inform the Administrative Coordinator of any changes to their schedule
- Check in with your supervisor(s) as needed to successfully complete assignments and communicate any concerns (i.e. ask questions, receive feedback, provide updates, etc.)
- Attend any required/optional training sessions to establish a relationship with coworkers and learn how to perform certain tasks related to the job. This includes an orientation to be scheduled a few days prior to classes starting
Hourly Rate: $16.50
