FlexFleet Ownership Services

The UMass FlexFleet campus vehicle loan program offers qualified staff and faculty departmental users with low-cost shared vehicle programs.  Whether for short or longer terms, FlexFleet provides you with an all-expenses-and-hassle-free way to use campus vehicles at a fraction of the cost of full ownership.

• Fueling, insurance and maintenance are all included - no need to gas up for local area travel  - we'll take care of that!
• Easy billing: Direct billing to your department using an authorized account number eliminates the hassle of reimbursement.
• Convenient location: We are conveniently located on Level 4 of the Campus Central Garage main campus.
• Or we can drop off a vehicle for a nominal extra fee in many cases.

All UMass Fleet vehicle requests, whether new or replacement, require a series of steps. To start this process, please click here to fill out some basic questions.  Then our Fleet Services team will contact you to review ownership options that will best suit your needs and budget.  Campus policies require approval of all vehicle requests to be approved by the Vice Chancellor of Administration & Finance or their designee prior to encumbrance by any UMass entity or affiliate.

VEHICLE DISPOSAL/SURPLUS/TRADE-IN PROCEDURES:

• To Start the process, please contact Fleet Operations at 413-545-6511 or [email protected] to arrange bringing the vehicle to the Fleet Garage.
• We will remove decals and plates, collect keys, cancel the registration and fuel card, document defects, and update inventory.
• There is a decommissioning fee associated.

ONCE THE VEHICLE IS DECOMMISSIONED:

• If the vehicle is to be a trade-in for a new purchase, we will work with the dealer to transfer ownership to them.
• If the vehicle is for surplus/auction, we will work with the auctioneer and arrange to have the vehicle auctioned, and transfer ownership to the winning bidder.  The proceeds of the auction are deposited back to the department specified SPEEDTYPE.
