Day of Event
- Be attired to respectfully receive your guest(s).
- Be on time and provide a warm welcome. Meet your guest(s) at a mutually agreed upon location (i.e. near the elevators in the Campus Center, etc.). If you will have a cohort of guests at an event, consider designating greeters along the route to event to assist with wayfinding and other questions.
- Cover all logistics. Review the event agenda with guest(s). Ensure guest(s) has a beverage/food guest card and is aware of nearest restrooms (including gender inclusive restrooms).
- Introduce guest(s) using approved speaker bio information. Even if you are on a first-name basis, it is appropriate to use the guest(s) full name and include any appropriate titles in the presence of colleagues.
- The exchange of business cards is highly significant and may follow a ritual. Notice how your guest presents their card and accept it in a similar manner. If two hands are used holding the top corners face up so that you may read it as you receive it, accept it with two hands. Take time to read the card before putting it away. As you present your card, take care that the print is face up and facing the receiver.
- Mingle with guests/event attendees, introducing yourself to persons whom you have not met and indicate that you are a member of the university staff.
- Ensure that your guest(s) have a campus escort(s) throughout their visit.
- Thank your guest(s) before they leave campus.
