Evening Exam Guidelines

Fall 2015 Mid-term examinations and Evening Examination Requests via Resource25 are past due as of 5:00 p.m. August 28, 2015.  We require you to submit each exam date, separately.  When requesting for any exam during the semester, other than finals, please select the option 4A Mid-term & Evening Exams for your event type, to ensure proper processing.

Requests received after the deadline are considered late, and room assignments will be made based on availability, or you will be notified to change the dates or times. Please call us if you have any questions regarding this policy.  Please note too that double seating is not guaranteed.

1.    The period between 7:00 p.m. and 9:00 p.m. should be kept free for examinations, thus providing an examination period from 7:15 p.m. until 8:45 p.m. and travel periods of 15 minutes before and after the examination.
    
2.    If an examination has been scheduled by CCM Office during this 7:00 p.m. and 9:00 p.m. period, evening exams will have priority over all scheduled classes, except:  

(a) Lecture and other “primary enrollment” courses that must meet on a one-day-per-week schedule will be granted priority over all exams scheduled on Monday and Tuesday evenings.
(b) Evening exam is not scheduled during the designated 7-9 p.m. or is scheduled into a larger time block (for example start earlier than 7 p.m. or end later than 9 p.m.)    
    
3.    Instructors needing to schedule a course that meets one-day-per-week on either Monday or Tuesday evenings, and therefore given priority over evening exams, must submit a memo to their department head with explanation as to why it is essential that the course (a) be taught on a one-day-per-week schedule, (b) impinge on the 7:00 p.m.-9:00 p.m. exam time period, and (c) have priority over evening exams.  These memos must be available for review upon request of the Provost’s Office.
    
4.    Instructors needing to hold evening exams should make every effort to schedule the exams entirely within the 7:00-9:00 p.m. time period, and to schedule the exams on Wednesdays, Thursdays, or Fridays.  Instructors using evening exams must be informed by their department schedule representative of the applicable regulations, with particular emphasis on the rule giving priority to one-day-per-week classes on Mondays and Tuesdays.

5.    If you schedule an exam on Tuesday October 13, 2015, please note that a Monday class schedule will be followed, and rule 2 listed above, will apply to the exam.  A makeup exam should be offered to students who have a “primary enrollment” course that meets once a week and conflicts with an exam scheduled on that night.    (Room availability will be minimal on these days and therefore, scheduling office suggests that you refrain from scheduling exams for seating caps greater than 60-100 on Oct 13).  Please note that there is no make-up date for Wednesday, November 11, 2015. 

6.    If a student is scheduled to take two evening examinations at the same time, the faculty member running the course with the higher final digit (or digits) of the 5-digit class number shall be required to offer a make-up examination.  If one examination was requested after the deadline, the one requested late is expected to offer a make-up examination to any student who has a conflict, regardless of the class number.  Proof of conflict shall be supplied by the student.

7.    Mid-terms/Evening exams/Finals cannot be held during Reading days.
