Operational Changes to Mail Processing

Mail Services is implementing several operational changes to distribution schedules to maintain essential service levels while optimizing resources and ensuring safety. 

Please review the following updates carefully:

Reduced Delivery Schedule

  • Low mail-volume campus buildings will shift to a Monday-Wednesday-Friday (M-W-F) delivery and pickup schedule effective August 25, 2025
  • Affected mail stops include:

    • Bowditch
    • Bromery Center Box Office
    • Central Heating Plant (CHP)
    • Curry Hicks
    • East Experiment Station
    • Fernald
    • Gordon/Crotty
    • Hasbrouck
    • Integrated Learning Center (ILC)
    • Intermediate Processing Facility (IPF)
    • Knowles
    • Marching Band
    • Munson
    • Rec Center
    • Slobody Building
    • Studio Arts
    • UWW
    • Wilder Hall

Whitmore Mail Schedule Changes 

  • Daily drop-off/pickup will now occur at 10:30 a.m.
  • Please ensure outgoing mail is placed in the Whitmore mailroom by 10:00 a.m.
  • Outgoing USPS Mail ready after 10:30 a.m. may be brought to the Mail Services Lobby no later than 2:30 p.m. for same-day processing.
  • Outgoing UPS packages must be dropped off by 2:15 p.m. to ensure inclusion in the 3:00 p.m. pickup.
  • Mail arriving at the Mail Services office after these critical drop-off times will be processed the following business day. 

Outgoing First-Class Mail Delays 

  • First-class mail collected from departments may not ship the same day.
  • Mailings prepared outside of Mail Services will no longer be guaranteed same-day shipping.
  • For time-sensitive materials, departments are encouraged to coordinate closely with Mail Services and allow for additional processing time.

Extended Package Search Response Time 

  • Response times for package searches may now take up to 72 hours.

Extended Int’l Package Evaluation Time 

  • Due to the need for both Research Compliance and Mail Services to review international shipping content for compliance, please allow 7–10 business days for processing and approval of international shipments to ensure compliance with export, carrier and DOT regulations.

Discontinued Same-Day Special Request Pickup 

  • Same-day special pickups for mail or packages are no longer offered. Please drop off mail or packages as per above.
  • Requests for urgent shipping will be evaluated and fulfilled on a case by case basis.

We appreciate your understanding and cooperation as we implement these changes.
