Spring 2022 In-Room Technology for Hybrid Classes

For the Spring 2022 semester, some classrooms have been designated as hybrid classrooms with instructors and some students being physically present in the room, while other students join the class synchronously online. These rooms have been upgraded and designed to work with Zoom to allow you to teach synchronously to both populations of students in your course. The hybrid rooms have been built to be as flexible as possible, allowing you to use your own device and connect to the in-room system using only an HDMI cable and a single USB cable. This will give you access to the projector, the in-room instructor-facing camera, a high-powered speaker, and in-room microphone. 

 

Tips and Tricks

  • Don't forget your online students. Give them a chance to answer questions and engage with you like in the in-person students.
  • Restate student questions before responding, or asking for student responses. This makes sure you are answering the question the student meant to ask, as well as making sure it was recorded correctly. 
  • Pause playback of any audio/video content you are sharing before speaking or asking students to speak. This will prevent the in-room system from suppressing your voice. 
  • Use breakout rooms for small group, think-pair-share activities for online students while students in-person work together. 
  • Encourage collaboration between populations of students. This could be synchronously done through platforms such as Apps at UMass, or asynchronously through Moodle or Blackboard with activities such as discussion boards. 

Before Your Class Begins

Before you arrive in the classroom, you will need to schedule your Zoom meeting and communicate with students to let them know how to access the meeting online. We also recommend making sure the Zoom client on your computer is up-to-date before you begin your class meeting. 

  1. Schedule your Zoom meeting for class:
    For Moodle users, Create the Zoom activity in Moodle, and Schedule a meeting for your class time.

  2. Download and install the Zoom Desktop client for your device.
  3. Before each class, make sure you check for Zoom updates to make sure you have the latest version.

In the Room

The Hybrid classroom setup will allow you to connect your laptop computer to the in-room system using the Display (HDMI) and Zoom Hub (USB) cables. Connect both cable to your device to access the full suite of technology. The system is designed for use with most laptop computers, and some tablets. 

If you would like to test your device’s compatibility, have a demonstration of the classroom technology, or run through using the classroom technology, you can schedule an appointment with Classroom Technology Services (CTS) to test the room. Please note: All appointments will strictly adhere to the current covid-19 safety protocols including wearing masks and maintaining greater than 6ft distance from one another. To ensure compliance and the availability of staff, appointments must be made well in advance. 

Once you are ready, there are 3 steps to connect to the hybrid in-room technology:

  1. Connecting your computer to the in-room system
  2. Start the Zoom Meeting
  3. Configure your Zoom meeting Audio and Camera options
  4. Add Note: If in ILC, Echo360 camera option will appear
    Optional: Join the meeting using the confidence monitor. 
    Optional: Select the Document Camera in Zoom (see below)

To connect your computer to the in-room system

  1. Connect the Display cable to your computer’s HDMI port. 
  2. Connect the Zoom Hub cable to your computer’s USB port. 

To start the Zoom meeting

  1. Navigate to your Moodle or Blackboard course. 
  2. Click the Zoom link to begin the meeting. The Zoom meeting will begin on your computer. 

Configure your Zoom Meeting’s Audio settings

When you begin the Zoom meeting, select Join with Computer Audio. The audio options should automatically select Echo cancelling speakerphone (2- Jabra Speak 750). To manually change your audio options:

  1. In the Zoom meeting interface, next to the microphone icon, select More ( ^ ). The More menu will open. 
  2. Under Select a Microphone, select Echo cancelling speakerphone (2- Jabra Speak 750). 
  3. Next to the microphone, select More ( ^ ). The More menu will open
  4. Under Select a speaker, select Echo cancelling speakerphone (2- Jabra Speak 750). 
  5. You will now be connected to the in-room audio device. 

Configure your Zoom meeting's video settings

When you join your Zoom meeting, the camera should automatically select the instructor camera. To manually change your camera:

  1. In the Zoom meeting interface, next to Start video, select More ( ^ ). The More menu will open.
  2. Select Logitech Webcam C930e. 
  3. You will now be connected to the in-room audio and video systems. 
    Note: ILC Rooms have additional Camera options, including audience-facing and front-facing cameras mounted in the classrooms. All rooms have access to the Logitech Webcam C930e camera. 
  4. To turn on video, select Start Video

To use the document camera in Zoom

  1. In your Zoom meeting, select Share Screen. The Share window will open. 
  2. In the Share window, select Advanced. The Advanced tab will appear. 
  3. On the Advanced tab, select Content from 2nd Camera
  4. Select Share. Your screen will now be shared. If you are sharing a window rather than your desktop, the window being shared will be highlighted green. 

To share audio/video media with students

If you want to play audio or video content for students, such as sharing a video clip you will discuss, there are 2 settings in Zoom you will need to use to optimize your meeting for streaming content. To optimize your screen sharing:

  1. On your computer, queue up the media (in a media player, on YouTube, etc…). 
  2. In the Zoom meeting, select Share screen. The Share window will open. 
  3. In the Share window, select the program you are playing the media in. 
  4. At the bottom of the window, select Share sound and Optimize for video clip.
  5. Select Share. Your screen will now be shared. If you are sharing a window rather than your desktop, the window being shared will be highlighted green. 
  6. You may now begin playing your media. 
    Note: Pause your media playback before you speak or ask students to respond. This will keep your voices clear and easier to understand.
