Integrating your Echo360 and Zoom accounts will enable your Zoom cloud recordings to be added to your Echo360 library. This will allow you to save meeting recordings, and share recordings with students easily. Unlike the 120 day retention policy for Zoom cloud storage, there is no retention limit on content added to Echo360. This integration will copy over any Zoom cloud recordings that are made after the integration is complete. It will not copy over previously recorded meetings.
Do not enable this integration if you use your UMass Zoom account for tele-health or other purposes which require HIPPA compliance. If you enable this integration, Echo360 will automatically copy over all cloud recordings made using your UMass Zoom account. Recordings will be added to your Echo360 library, and will not be shared with anyone unless you specify that they should be automatically added to a course, or if you manually share those recordings. You can still manually download Zoom cloud recordings and upload them to Echo360 without enabling this integration.
Before you can integrate accounts, make sure you have access to both Echo360 and Zoom.
Enable the integration between Echo360 and Zoom
- Navigate to echo360.umass.edu and log in with your NetID and password. The Echo360 library page will open.
- At the top of the page, select Settings (blue gear icon).
- From the Settings dropdown menu, select Account Settings. The Account Settings page will open.
- On the Account Settings page, select Zoom Settings.
- On the Zoom Settings page, for Automatically copy Zoom recordings to Echo360, select the toggle to enable it (green).
Set an Alternate Zoom Email
If your preferred email address is not NETID@umass.edu (e.g. jsmith@department.umass.edu), then you will need to follow the steps below so that Zoom and Echo360 can correctly identify you.
To set an Alternate Zoom Email in Echo360:
- Navigate to echo360.umass.edu and log in with your NetID and password. The Echo360 library page will open.
- At the top of the page, select Settings (blue gear icon).
- From the Settings dropdown menu, select Account Settings. The Account Settings page will open.
- On the Account Settings page, select Zoom Settings.
- On the Zoom Settings page, select Alternate Zoom Email.
- On the Alternate Zoom Email page, enter your NetID@umass.edu (do not include department identifiers).
- Click Save. You will receive a confirmation email from Echo360. Follow the instructions in the email to complete adding your Zoom account to Echo360.
Set a scheduled Zoom recording to publish to automatically publish to an Echo360 course
If you have already scheduled Zoom meetings for your course, you can specify that cloud recordings from that meeting are automatically published to an Echo360 course. This will allow students to access the recordings as soon as they are processed. This option is only available for meetings which have been scheduled in Zoom.
To set a scheduled Zoom meeting to publish directly to an Echo360 course section:
- Schedule your meeting in Zoom.
- Navigate to echo360.umass.edu and log in with your NetID and password. The Echo360 library page will open.
- At the top of the page, select Settings (blue gear icon).
- From the Settings dropdown menu, select Account Settings. The Account Settings page will open.
- On the Account Settings page, select Zoom Settings.
- On the Zoom Settings page, under Automatically create Zoom lessons in Echo360 sections, a list of your scheduled meetings will appear. If they do not, select Reload My Zoom meetings.
- For the meeting you want to publish to a course, from the Echo360 section dropdown menu column, select the Echo360 course you want to add recordings to.
Note: Only active Echo360 courses can be selected. Inactive courses, those in semesters which have already ended or have not begun yet, will appear but cannot be selected. - At the bottom of the page, select Save all changes.
Considerations and Limitations
While Zoom will allow you to make multiple cloud recording files (Shared screen with speaker view, gallery, and active speaker all as individual files), Echo360 can only pull one cloud recording file. Echo360 has an established priority when looking for the file to bring over, and will pull the highest priority recording in the event there are multiple files associated with a meeting. That priority is:
- Shared screen with speaker view: MP4 file with audio and video showing both active speaker view and shared content
- Shared Screen: MP4 file with audio and video showing the shared screen only
- Shared screen with gallery view: MP4 file with audio and video showing both gallery view and shared content
- Active Speaker: MP4 file with audio and video showing the active speaker view only
- Gallery View: MP4 file with audio and video showing the gallery view only
If you start and stop recording multiple times during the Zoom meeting, Zoom will produce an individual file for each start/stop. Echo360 will copy each recording file for the same meeting. It will not combine those recordings into a single file. This can be useful if you are dividing up your lecture into smaller parts.
If you use the Pause recording instead of stopping the recording, and then resume, it will produce one continuous recording file.
Zoom meetings longer than 8 hours cannot be copied over. If you have a meeting that runs 8 hours, you will need to stop and restart the recording at some point during the meeting to keep the segments under the 8 hour limit.
Echo360 has a new “meeting now” feature. We do not recommend using this feature because of the current lack of controls and functionality. As updates continue and functionality is added this recommendation may change.
