Academic advising is a crucial part of preparing UMass Amherst students to maximize their study abroad experience. Below are ways that you can support students in your college or department:
Help them identify which terms in their degree requirements that might allow for experiential learning like study abroad. This can be certain semester, summer, or winter session programs.
What types of degree requirements are possible to take abroad versus on-campus? Consider electives within your department, Gen Eds, or general credits towards graduation.
Refer students to Education Abroad resources to start planning.
Students complete the International Course Approval Form (ICAF) as part of their UMass Abroad application. Each department or college pre-approves courses for that students’ major on the ICAF.
If students are taking courses for their minor or certificate program, they do not need to submit a course approval form. However, we encourage them to seek course approval from their minor advisor prior to your program.
Students going abroad during the semester or academic year must have their primary major sign this form even if they won’t be taking any degree requirements abroad.
Education Abroad approves Gen Ed courses abroad; students complete a separate form for their UMass Abroad application.
Just like at UMass, there is an add/drop period. Students may contact you to pre-approve new courses and submit updated ICAFs as they finalize their course schedule.
Education Abroad emails students important information about registering for UMass courses and securing housing for their return to campus.
Sometimes students abroad may need help with enrolling in courses with pre-requisites. Education Abroad will refer students to their department for assistance.
It is not uncommon for students to struggle at some point (or multiple points) during their time abroad. Resources are available in-country, depending on their program, and of course Education Abroad is always available as a resource.
If your student is in crisis, please encourage them to call the emergency number for 24/7 help. Education Abroad supports students through all types of emergency situations including physical and mental health, theft, housing concerns, etc.
There are instances where the most appropriate course of action for a student is for them to leave their program early. As it will have financial and academic implications, this step must be done in consultation with Education Abroad. In some cases, it may be possible to re-integrate them into UMass if this happens before the end of UMass add/drop period.
The IPO Registrar processes all transcripts from study abroad programs and sends them to the UMass Registrar before they are posted in SPIRE.
The average processing time is 4-6 weeks after Education Abroad receives the transcript.
If your student took a course abroad that wasn’t pre-approved for a degree requirement, they can submit retroactive approvals.
If your student has an upcoming graduation deadline, contact iporegistrar@umass.edu so we can fast-track processing. Deadlines are listed on the Registrars Graduation Requirement and Deadlines webpage and take place after the end of the semester.
