If a student is experiencing a medical or mental health emergency, who should be contacted?
For an emergency, call UMPD at (413) 545-3111.
For a non-emergency, call UMPD at (413) 545-2121.
If there are additional questions or concerns, please reference the Maroon Folder or consult with a supervisor.
If a student enrolled in a course has never attended class, has not submitted assignments, or has not engaged with a course platform (LMS), what should the course instructor do?
The course instructor should reach out to the student of concern to gather more information to determine if the student is planning to continue in the course.
Additionally, if you are the course instructor and have concerns that are primarily about course performance, such as low grades, multiple missing assignments, or a student has never attended class, please submit a referral via Academic Alert through Navigate.
If a student who had been engaged in your course has abruptly stops attending class or has stopped submitting assignments/engaging with a course platform (LMS), what should the course instructor do?
The course instructor should reach out to the student of concern to gather more information and discuss a plan of support.
If the course instructor has not been successful in contacting the student, then the Dean of Students Office can provide additional assistance. Please submit a Student Support Request/Referral and provide as much information as possible about the student's change of behavior with regard to engagement (attendance and participation) in your course.
If a student is seeking approval for an excused absence or extension on an assignment, does the faculty member need to receive documentation from the Dean of Students Office?
No, faculty/instructors do not need approval from the Dean of Students Office. Providing flexibility regarding academic expectations for a student does not require documentation from the Dean of Students Office. We encourage students to communicate their needs directly with their faculty when they are able to do so.
If a student is unable to contact their faculty member in advance because of an emergency circumstance or sensitive matter, the Dean of Students Office can provide support to that student regarding outreach to faculty. The student should submit a Student Support Request/Referral to be connected with a staff member for assistance.
For more information about the Class Absence Policy, please review the Academic Regulations.
Note: any decision to adjust course requirements or excuse a student from class is at the faculty member’s discretion.
A student has struggled attending class this semester and turning in assignments. They have requested an incomplete. Does the Dean of Students Office support giving the student an incomplete for the course?
Ultimately, the decision to give a student an incomplete is up to the faculty member’s discretion. It is encouraged that the faculty member discusses this directly with their Department Chair/Head if there are concerns about how to proceed.
More information about the incomplete process can be found in the Undergraduate Academic Regulations.
The Dean of Students Office is happy to provide support to students interested in taking an incomplete. However, the Dean of Students Office only recommends a student be given an incomplete for a course if the student has completed 80% of the coursework and is currently passing the course.
A student in class has shared that they are navigating personal challenges outside of academics. What should a faculty/staff member do?
It may also be beneficial to submit a Student Support Request/Referral so a Dean of Students Office staff member can connect with the student and provide additional support as needed.
