4/24/2026Friday PayrollThe Budget Office is responsible for ensuring that State and Tuition Retention funds are fully expended by the end of the fiscal year.  All change of funding requests impacting State and Tuition Retention funds must be submitted to HR by Friday, April 24, 2026.   (Note that GOF2 should NOT be used on personnel actions.)  After April 24th, the Budget Office will review all personnel actions involving these funds and may not be able to allow funding changes as we get later into the fiscal year.  If you predict you will have a significant funding change that you are unable to process before the deadline, please contact the Budget Office so we can try to account for it in our year-end balancing. 
5/29/2026Friday PayrollFY26 or FY27 (for Non State & Tuition Retention Funds) Payroll Funding Swaps are due to HR by May 30th for processing. If funding is not changing for FY2026, do not send in the paperwork. For those that process their funding swaps via ePAFs please make sure that they are all in for the Pay Period Ending (PPE) 5/30/2026. If any changes are needed, you will still have the PPE 6/13/2026 to make those corrections/changes.

PO RolloverAccounts PayablePurchase orders and invoices exported from BuyWays to PeopleSoft will be put on hold on June 26th (5pm). BuyWays users may continue to enter requisitions, but purchase orders will not be exported to PeopleSoft until the FY rollover is complete.

For outstanding commitments on FY26 POs to roll into FY27, the FY26 POs must be in an approved or dispatched status with a valid budget check. There must be a valid budget row in the appropriate departmental FY27 budget to accommodate the rolled balance on the PO, or the PO will fail budget checking.

Asset receiving on FY26 POs must be vouchered by 6/30/26, therefore, the invoice and packing slip must be submitted to the Controller’s Office by 6/24/26. To be considered received, an item must be inspected and tagged.

During the FY26 close, UPST will be reviewing any old POs that remain open. Any PO created prior to 7/1/24 are scheduled to close. If no action is taken by the PO owner, UPST will close the order on June 26th starting at 4pm. If there is a valid business reason that the PO cannot be closed, please submit a case to UPST at A&[email protected], for review and final determination.
AP Check RunsAccounts PayableThe A/P check runs during the last few weeks of the fiscal year are: 6/16, 6/18, 6/23, 6/25, and 6/30. The first A/P check runs of FY27 will be on 7/2 and 7/7.
PayrollPayroll journals for PPE 6/27/26 are created on July 1, 2026 (journal date: 6/29), and for the split payroll on July 17, 2026 (journal dates: 6/30 and 7/17/26).The challenging payroll run is the pay period beginning June 28th and ending July 11th.  PeopleSoft HR processes the biweekly payroll one week at a time. The determining factor on whether earnings will be considered part of week one or part of week two is the “earnings end date.” For example, unless otherwise noted on the split payroll matrix, hours worked in week one will have earnings end date of June 30th or July 11th and will split 3/7ths to FY26 and 4/7ths to FY27. Hours worked in week two will have an earnings end date of July 11th and will be fully expensed in FY27. Please refer to the Payroll Matrix (link below) for exceptions.
Please note that during the final (split) payroll, all retroactive payroll redistributions, manual checks, and check reversals will be expensed in FY26 and all employee payments for travel will be posted in FY26. Campuses must identify projects/grants that should not be split between fiscal years and determine which year they belong in. The GL/GM teams have created trees that
will be used by HR. The last day to make changes to the sponsored project/grant trees is June 23rd.  The fringe benefit rate applied to payroll is the rate in effect for the fiscal year of the payroll expense. The FY26 fringe rate is 35.60% (Health/Retirement/Terminal Leave) and 2.21% for payroll taxes (UI/UHI/Medicare/Paid Family Medical Leave). The proposed fringe rates for FY27 are 43.99% and 2.12% for payroll taxes.
