Off-Campus Maintenance

UMass Amherst has entered into an agreement with Fleet Response to provide maintenance and repair services for UMass vehicles. The purpose of this program is to provide a convenient and efficient method to service University vehicles. Following the procedures outlined in this memo will help to insure that your vehicles provide safe and reliable transportation with a minimum amount of downtime.

Vehicle packages include a schedule for routine preventive maintenance services. A service should be scheduled on or before the mileage indicated on the schedule. Services can be performed at Fleet Services/Physical Plant, at one of the approved Fleet Response vendors, or at any of the following tire dealers and maintenance facilities:

  • Michelin
  • Firestone
  • GoodYear
  • Grease Monkey
  • Meineke
  • Sears
  • Aamco
  • Pep Boys
  • Valvoline
  • Midas
  • Jiffy Lube

Should the vehicle require a product or service not indicated on the preventative maintenance schedule that is expected to cost more than $100 (for example replacement tires, shock absorbers, brake service), the service facility must contact Fleet Response for approval and a verbal purchase order.

Fleet Response provides Roadside Assistance by calling 1-800-338-0619. The operator will arrange for a tow or other needed assistance. If the vehicle is towed, it will be brought to the nearest Fleet Response affiliated garage.

The maintenance folder should be kept in the glove compartment and must remain with the vehicle. The maintenance folders are issued to specific vehicles; please verify that the information on the folder matches the vehicle. Your department fleet manager should notify Fleet Response immediately if the maintenance folder is lost or stolen.

All services performed are billed directly to Fleet Response. The driver should never be required to pay for service. The service facility will provide the driver a receipt showing all services that will be billed.

We have adopted this program to help insure that regular maintenance is performed at the proper intervals and to support efficient operations with a minimum of downtime. It is imperative that the vehicle be brought to an approved maintenance facility at the specified mileage intervals.
