RLA Grant recipients choosing to host a conference or meeting through University Conference Services will follow the normal protocol in arranging the event.
- The chairperson will meet with the UCS Sales Manager and describe the event, the space required, the services required, and the timeframe.
- The UCS Sales Manager will then tentatively reserve space and compile a cost quote.
- Once the chairperson approves the quote, the UCS Sales Manager will issue a Conference Contract.
- The chairperson then signs and returns the contract
- UCS then creates a conference related account to be used in managing the conference related expenses. UCS will manage this account for the duration of the conference only.
- RLA then deposits the RLA grant funds into the UCS conference account as a deposit.
- If the PI chooses, matching funds may be deposited into the UCS account to be used to defray conference expenses.
- A conference coordinator will be assigned to the conference and will work with the chairperson on the logistics of planning and hosting the conference
- Once the conference is complete, the coordinator will provide a financial accounting of conference expenses.
· If there is excess money in the conference account it will be refunded to the chairperson.
· If there is a balance due, an invoice will be issued to the chairperson.
