Guidelines for Limited Institutional Submissions to Funding Programs

Many foundations and some government agencies have funding competitions that allow only a limited number of nominations or proposal submissions from any one institution. For these competitions it is essential to conduct an internal selection process. The Office of Research Affairs (ORA) has developed the following guidelines for the selection of UMASS nominees to such programs.

On-Campus Notification

When any office on campus receives an announcement of a grant or award program for which only a limited number of applications can be submitted from a single institution, the announcement should be sent to the ORA, who will have the responsibility for notifying faculty and campus administrators of the funding programs.

Announcement of the Program and Internal Competition

The ORA will send an email announcement of the opportunity to individuals on a targeted mailing list, based on the award program's focus. This email will contain a summary of the program guidelines, selection and eligibility criteria, details of the internal selection process, and a timeline for the internal selection and submission procedures.

Collection of Applications for Internal Review

If an internal review should be necessary, required materials will be requested by a designated deadline.

Selection and Appointment of a Review Committee

Applications will be reviewed by a committee, consisting of corresponding Deans, the Vice Provost for Research, and where applicable, the Office of Foundation Relations.

Review of Applications

Applications will be evaluated on how well each meets the selection criteria and guidelines given in the foundation or agency program announcement.

Selection and Notification of Nominees

ORA will notify applicants of the results. The nominee and the nominee's Dean and Department Head will be notified by the ORA of his or her nomination.
