Need Help? If you have the money, here's the process for getting that help. Of course, there are rules to follow and forms to fill out. This Web Page will help walk you through.
Rule # 1:
DO NOT let anyone start work until their paperwork has been 100% completed and processed through the Department, The College, and UMass Human Resources. The “powers-that-be” warn us that we could be sued!
Rule # 2:
The Emergency Notification Form is an important part of each employee's file. Be sure your new Employee fills out this form and submits it to the Personnel Manager (Eileen Harris). You should also keep a copy for your own files. This form will help us to contact an employee in case of emergency or contact their designee if the employee is in an emergency situation.
Fact you should know:
When hired at UMass,
ALL employees will have three important ID numbers: a Social Security number, a Campus ID number (also known as a student ID, but faculty and staff also have one), and an Employee ID number (also known as empl ID#, which will start with the numbers 100). For some things, any old number will do, for other things, a specific number will be required. Be aware.
Getting the Help You Need
Your first decision is to determine what kind of help you need. Do you need a full-time,
benefited person, or will an hourly do? Can you hire an enrolled student, or are you interested in a non-student employee? How about a Graduate Student as an hourly employee or as a Teaching or Research Assistant? Do you need a Post-Doc? To help you make decisions and get your hire, please look over the following information.

UNDERGRADUATE & NON-STUDENT HOURLY EMPLOYEES:
The best value on campus for an hourly employee is via the Work-study Financial Aid Program. If you hire a student who has been awarded Work-study, the University will pay 70% of their salary... such a deal! You may also hire non-Work-study students and non-students on an hourly basis, but you will be responsible for 100% of their salary.
To hire a Student Hourly:
For student positions (either Work-study or Non-Work-study), please fill out the Advertisement for Student Hourly Positions form and fax it to Student Employment at 5-1722. Keep a copy of the ad to attach to the PSIS Personnel Action Form Information Worksheet. Before you make any promises to anyone, be sure that you can fill the position. Also, be sure that you follow the University rules as noted above in Rule #1.
When you've found a student to hire, fill in the PSIS Personnel Action Form Information Worksheet and submit it to Eileen in the main office via hard copy or email. You are responsible for getting the student information required. The student must fill out all required employment forms at 325 Whitmore. They must also fill out a departmental Emergency Notification Form.
To hire a NON-Student Hourly:
Advertising for a non-student is a bit more complex. You need to fill out a Form 30 (job description), a Position Skills Inventory Form and a Personnel Requisition Form. All of these should be submitted to Eileen Harris in the main office via hard copy or email. The position will be advertised on the “yellow sheet” through University Employment. If you have a specific person in mind, put their name on the top of each of the above forms.
All NON-Student applicants for the position, strangers or someone you already have in mind, must go to the University Employment Office, 167 Whitmore, to fill out an application and a Position Skills Inventory form (and be sure his/her skills match what you requested on the form you filled out). Once the position has been advertised on the “yellow sheet,” you will be asked to sign off on a “profile” sheet choosing the person you wish to employ. Then, you must fill in the PSIS Personnel Action Form Information Worksheet with that person’s information and submit it to Eileen Harris in the main office via hard copy or email. The prospective employee must fill out all required employment forms at 325 Whitmore. They must also fill out a departmental Emergency Notification Form.
GRADUATE STUDENT EMPLOYEES:
For TAs or RAs, you must submit the PSIS Graduate Assistantship Worksheet. You must complete all of the student information requested on this form and send it to Eileen Harris in the main office via hard copy or email. The student must fill out all required employment forms at 325 Whitmore. They must also fill out a departmental Emergency Notification Form.
POST-DOCTORAL CANDIDATES:
Advertising for a post-doc position must be by a formal search through the Equal Opportunity and Diversity Office on campus. See Search Procedures: Faculty & Professional Staff at www.umass.edu/eod. Waivers of a search are possible.
Candidates will submit a CV and 3 letters of recommendation.
Once a prospective post-doc has been chosen, you must submit their CV, 3 letters of recommendation, a memo from you to the Department Head outlining why you have chosen this person, a memo from the Department Head to the Dean supporting your choice and a PSIS Personnel Action Form Information Worksheet.
The prospective post-doc must attend an employee orientation session, at which they will be given all hiring paperwork, including tax and retirement forms, direct deposit and insurance choices. They must also fill out a departmental Emergency Notification Form.
CLASSIFIED (BENEFITED) EMPLOYEES:
To advertise for a classified position, you need to fill out a Form 30 (job description), a Position Skills Inventory form and a Personnel Requisition Form. All of these should be submitted to Eileen Harris in the main office via hard copy or email. The position will be advertised on the “yellow sheet” through University Employment.
