IALS Conference Center
These conference rooms are located in the Life Science Laboratory South (LSL2).
Reservations
- The IALS Administrative Office has priority over the use of the rooms.
- Requests will receive notification of availability within 72 business hours of request.
- Reservations are required a minimum of fifteen days prior to the event.
- Reservations are accepted a maximum of six months prior to event.
- Priority of room reservations requests will be given to the IALS Centers, Core Facilities, IALS related events.
- A strict no reoccurring meeting policy is in place for these rooms. Any reoccurring requests will be denied.
- Student use of the room is authorized infrequently. Students MUST go through a designated departmental representative who is responsible for opening and closing the room as well as the state of the room. Reservations are only accepted from the designated department representative.
- Potential bumping from the rooms to accommodate important IALS or site visits and/or events should be anticipated. If bumped, it is the responsibility of the person being bumped to acquire another location.
- As there is great demand for our facility, we advise advertising your event only after receiving confirmation of availability.
Guidelines for Use
- Conference room tables should not be moved unless authorized by the IALS Administrative Staff.
- Chairs should be returned to their original position and pushed in neatly.
- IALS AV support is required for use of the AV equipment in the room. Please contact IT, ialsit@umass.edu, to coordinate scheduling and to reserve the AV equipment as soon as your reservation is confirmed.
- Any and all food/drink should be removed from the room prior to the departure of the meeting coordinator.
- If food/drink has been brought into the room, you are responsible for wiping down the tables and vacuuming floors (vacuum provided in space).
- If Campus Catering has provided a meal for a special event, the coordinator is responsible to remain until catering had picked up, and in order for you to lock the door when they leave.
- Trash bags should be removed, tied and left outside the locked area for custodial services.
- Event/Meeting coordinator is responsible for arranging and supervising room set up and clean up.
- If your event is on a weekend, you will need to coordinate with Custodial Services and Shane Duclos (sduclos@umass.edu) to ensure that building access and clean up are available.
Any violation of the aforementioned guidelines, as well as any repair, replacement and/or cleaning fees will be charged to you if necessary. Please note that these charges are commensurate to what is normally charged by facilities if the services are required:
- $100: Room not arranged to original setup (chairs not pushed in, overflow of orphan chairs from other locations).
- $100: Failure to clean up the conference room (trash not removed, tables not wiped, food left behind).
- $TBD: Damage to the room, tables, chairs, carpet or equipment.
