Re: Procedures for Public Forum Presenters

The Commission on Campus Diversity welcomes the opportunity to hear your testimony on December 9, 2004. We believe you will provide valuable information and serve as a good resource to the work of the Commission on behalf of the university.

The public forum will be held on the Amherst campus at the Curry Hicks Gymnasium from 7:00 to 10:00 p.m. All presenters are strongly encouraged to arrive no later than 6:30 p.m. Late arrivers will only be seated in between presentations so as not to disrupt presentations to the Commission and the audience. Melissa Vara and Lloyd Henley, located in the main lobby, will provide you with a nameplate and direct you to your designated seat. We have attached the times and names of all presenters for the Public Forum. The protocol for the evening follows:

  • All presenters will have a designated seating area. Presenters will be seated in sequence of presentation times. As names are called, presenters will be directed to the presentation platform, each presenter will place his/her nameplate on the table, facing the Commission members, introduce himself/herself, and immediately begin his/her opening statement. After the presentation, presenter will exit the platform from the left and return to his/her designated seat.
  • Due to the overwhelming response from constituencies to speak, under no circumstances will a presenter be allowed to go beyond a total of five (5) minutes, which includes both the presentation and follow-up questions from Commission members.  Specifically, presenters are advised to make a three (3) minute statement and allow two (2) minutes for questions from the Commission.  If the Commission does not have questions, the presenter will have two (2) minutes for a closing statement.
  • Presenters can submit written documentation to the Commission after their presentations.
  • Presenters who miss their designated time slot are not guaranteed a time for this session of the public forum. The Commission will attempt to arrange a follow-up forum.  
  • The public forum will be video recorded for Commission review.
  • Professor Frank Hugus, Director of the International Programs Office, will serve as the parliamentarian for the public forum.
  • The Commission advises all presenters to turn off their cell phones.
